Administrative Secretary

Burlington, MA
The Town of Burlington seeks applicants to perform a variety of duties of a complex nature requiring the exercise of considerable judgment, initiative and confidentiality for Burlington Youth & Family Services (BYFS), a Town department responsible for providing mental health and social services to families with adolescents and young adults. BYFS also provides information and referral services for all residents regardless of age.

Essential functions include, but are not limited to:
  • Perform varied and responsible duties requiring the exercise of judgment and initiative including complying with HIPAA guidelines.
  • Receive and screen visitors; refer inquiries to appropriate individual as required; respond to telephone and in-person inquiries relative to the department’s operations and procedures; provide information and referral services.
  • Prepare a variety of material such as correspondence, memoranda, reports, schedules, minutes and forms.
  • Prepare departmental payroll and bills payable vouchers; maintains financial, budgetary and department personnel records; maintain department’s record and filing system; purchase office supplies as required.
  • Assist in the preparation of meeting agenda, meeting notices and compilation of supportive materials.
  • Assist in the administration of a number of social services programs.
 
Minimum qualifications include
  • High School Diploma with courses in office procedures and business; two years’ experience in secretarial work; any combination of education and experience.  Prior experience working in a mental health and social services preferred.
  • Working knowledge of office procedures and machines.  Superior and current computer skills, including word processing and spreadsheet software.
  • Exceptional communication, organizational and customer service skills. 
  • Ability to maintain accurate records.
  • Must be able to obtain a working knowledge of the department’s principles and practices.
  • Must maintain a high level of confidentiality.

This is a union position within the Burlington Municipal Employees Association bargaining unit.  Salary is within Grade 7, of the BMEA contract. 

Pay range starts at $30.54/hr with the opportunity to advance to a max rate of $43.64/hr via annual step increases.  This is a full time position, 35 hours per week, and includes comprehensive & generous benefits.
